Operations of all sizes are getting ready for what many say could be a busy prom season. Finding good temporary help can sometimes be harder than the impossible needle in a haystack! In this issue we gather information to help you sort through your options. Hiring the Right People
To end up with a well-trained talented staff, you must start with candidates that possess the basic skills and personality traits necessary to perform a particular job.
While most retailers seek consultants and salespeople eager to work in the formal wear industry, there are a lot of other skills and personality traits equally important. Some shop owners prefer employees with prior experience, for instance, while others prefer those they can train from scratch. Most all of us want employees with a certain level of math skill, or with the ability to write neatly to fill out order forms correctly.
Listening skills, phone etiquette and the ability to work as a team player are also crucial, especially in a small store where everyone is expected to pitch in wherever necessary to keep the shop running smoothly.
To hire employees right for your store, and to ensure a new employee will compliment the unique mix of skills and personalities you already have in your current employees, think first about the qualifications and traits the prospective employee needs.
FIRSTLY That all important Job Description: You may think you know the ins and outs of a particular job be it in the front or back of the store, but writing a detailed job description clarifies your thoughts and creates a blueprint of specific responsibilities, duties and traits to simplify the entire hiring process from composing a newspaper ad to conducting a thorough interview.
Every job description must include a title, the purpose of the job, the employee’s supervisor, and a list of duties and responsibilities. Incorporate a description of equipment to be operated, any training involved and a list of records to be maintained, such as order cards or pressing equipment etc…
For example, you might want a salesperson to work with prom customers, weddings, make sure suits are returned, put away stock, sew, help with internet business, etc etc….or all of the above in the same person. By specifically describing how this employee will spend six, eight or 10 hours plus in your store, who they report to and what the main responsibilities are expected of them, you also realize that a salesperson does a lot more than simply rent tuxedos!
Most employees handle money for example, and so need to possess basic math skills(and references that back your ability to trust them handling yours). They work closely with the public, so they must be able to put people at ease- especially important with brides and grooms who become more agitated as the date approaches and problems in other areas mount.
Analytical and listening skills along with a good dose of common sense are also important. New employees need to possess knowledge of fashion, sewing, etiquette and formal wear terms or the ability and a desire to learn and remember these skills.
If creating this description is overwhelming, ask your seasoned staff to submit their idea of what skills are required to perform their duties. For example you may not think about the fact that many of your sales start on the phone. Many times a simple “How late are you open?” call may lead to an ongoing conversation that establishes your business in that customers mind.
To find good prom help, many times hiring high school students themselves can lead to increased sales with good choices. A letter sent to the office secretary or counselors at your local high schools may give you good leads to candidates that are well liked by the student body. School newspapers and now facebook can also help you find good applicants. A well liked current person on your staff may be able to send applicants your way by posting the job on their facebook page. Word can spread quickly to kids their own age who they will be able to help you judge for suitability for the position.
Prepare for the Interview
Once you have sorted through the sea of applicants, and chosen suitable candidates the interview is your best tool to make good decisions. The key to a successful interview is to PREPARE! If you do not have a solid organized approach, it’s impossible to determine which applicant is best for the job. Scheduling four consecutive interviews and talking randomly with each candidate will not provide you with a good base to form your final opinion. But managers and store owners who prepare a list of questions aimed at discovering how well an applicant’s skills, knowledge and personality match a certain job will know who to hire when the last interview is conducted. After a quick tour of your facility and what you do there, asking the right questions helps insure who is paying attention and who isn’t…..
Key questions can be developed using your job description as a guide. What is your applicant’s ability to sell? Can they sell you the pen you are writing with or a bow tie on the table? This type of exercise reveals a candidate’s ability to think quickly and analyze a situation. It also uncovers an ability to vocalize thoughts and place them into a well received statement to your customer.
Another effective test is to relate numerous situations commonly occurring in your store. Such scenarios could include pants too short, shoes too tight, insistence of incorrect tie or vest colors etc…Asking the applicants how they might respond to these scenarios should keep them speaking long enough to reveal their verbal skills. Do they answer the questions in complete sentences? Can they articulate what they mean? A shy employee or one unable to communicate well may lose a lot of sales, customers, and your money!
Written tests once developed can be used each time to determine a person’s skill level in other areas. If a position requires handling money, create a short math test. If your shop requires that employees fill out order forms, sales slips or other important paperwork, give each applicant a simple verbal order for something in your store previously discussed and have them fill out an order form or sales slip. This type of listening skills test indicates an applicant’s handwriting habits as well. There’s no sense in hiring someone whose scribble is so illegible it takes an expert to decipher it.
Ask Questions to Generate Insights
Because most positions require a combination of knowledge, skills, and personality traits, it helps to break questions into separate groupings. One category could be aimed at testing an applicant’s overall intelligence, communication and selling skills, or knowledge of formal wear and men’s clothing in general.
This group of questions could include:
- How do you make a good first impression when greeting customers?
- What would you say to a customer who says “just looking”?
- How do you learn what customers’ needs and wants are?
- How do you deal with angry or dissatisfied customers?
If a customer is getting married at home in the garden or at 6:00 in the local Cathedral how would you dress them differently?
Next, study certain behaviors or personality traits like motivation, interests, goals, and initiative. Questions could include:
- Describe your ideal job?
- How would you describe a good day at work?
- What are some aspects of this job you may find difficult?
- What do you see would be your favorite part of this job?
- Why do you want this job?
A third group of questions could deal with a candidates ability to work as a team player or independently, their ability to work under stress; and how they get along with co-workers. Choose questions pertaining to working overtime or on weekends, to help you learn whether a candidate will fit into your store’s unique environment. Questions could include:
- If an order or sales slip was misplaced, and a co-worker blamed it on you, how would you handle it?
- What kind of environment do you work best in?
- Do you like working with people or alone? Why?
- What do you think constitutes a good team player?
- What would you do if a co-worker constantly asked you to cover for them?
- Do you work best in the morning or afternoon?
- During busy season are you available for extended hours if offered?
Narrowing the Field
After conducting the first round of interviews, you’ll probably have two or three applicants to choose from. Instead of just closing your eyes and choosing one, call each back for a second interview. Ask one or two additional questions, then discuss the realities of the fob. Stress both the negative and positive aspects of the job to give each applicant a realistic piture of what will be expected of them on a daily basis. If you want your employees to work late, and on Saturdays or Sundays, now is the time to let them know. Be honest about your expectations… it helps both of you make a final decision and can eliminate problems that might crop up after one or two weeks of employment.
There is no fool proof method for hiring employees.. An occasional great interview will still produce poor results. But, by taking the time to understand what you’re looking for in an employee, by creating a detailed job description, and by using it to conduct a thorough interview, costly hiring mistakes can be held to a minimum.

1) Do you make mistakes?
2) Which is more compelling to you financial success or job satisfaction?
3) What do you want to be when you grow up?
4) What do you think determines a person’s progress in a good company?
5) Your application tells me a great deal about your experience. What isn’t on this application that you would like me to know in order to make my decision?
Good luck in your search for those temporary helpers for busy season that many times turn into your seasoned staff of tomorrow!

In our last issue we had reports from across the country on bridal shows and how other members were doing, here are two others who shared their views:
Sorry for the slow response on the wedding bookings I have been really busy setting up a satellite location in a dress shop and reorganizing my store with new racks since we just installed our new Green Earth Dry Cleaning Machine. What a MESS! I really need to clone myself or something!!
Wedding bookings have been steady with both my stores but I think it is a little slower than last year. We did book over 40 weddings in November and December because of our Free suit promotion that we advertised at the Fall shows. Show attendance has definitely been down. I think because of the new fall shows that everyone has been putting on. I will say I have been offering the Free suit special for over three years now and it really is a big draw at the shows. You may want to pass this on to other members if they are interested in promoting this. I carry a lot of the microfiber suits that say super 150's or super 140's. They feel nicer than wool and only cost $40. I also carry wool suits that cost me $79. When you book a wedding you actually make more money if the groom takes the free suit. The guys that take you up on this offer usually don't own a suit so its an easy sale. We stock Black in all sizes and just a small assortment of black and grey pinstripe, charcoal and tan. Let the suit companies hold the inventory and everyone always wants black! The rental is anywhere between $80 and $160 so if the groom pays for his rental and chooses a suit that costs you $40 to $80 you actually make more money. You also have the opportunity to sell him accessories, charge for alterations, and build your suit business at the same time. Also if he has a large wedding party of 10 or more give him the free suit and the free rental instead of offering another free rental. We promoted this heavy at our September bridal show and we were right next to MW tux and people were actually cancelling with them for this suit special!!
It makes me sad to think they may have got the idea from me Here's to a killer season!!!!

We just had our big bridal gala this past Sunday. The attendance of brides was around 300 which is fairly typical of this show, however there didn't seem to be as many vendors this year.
Moores is offering a free brand-new tuxedo or suit to keep OR a free Tux rental (up to $149.99 value) with 5 paid complete rental packages.
Our bookings for January were slow as January usually is. February is starting to pick up especially on Saturdays!

John Barry & Associates has had the wonderful opportunity of working with hundreds of small, medium and large tux shops in the area of productivity. One of the areas of great interest is productivity in your backroom or service center.
Most tuxedo shop owners and managers have an interest in customer service, sales, marketing and helping people with garments for some of their most special days. This is of course key in building volume.
A normal point of less focus is productivity in the backroom.
JBA has assisted many tux companies in improving productivity.
The first step is awareness. We would like to suggest that you identify the number of minutes per tuxedo that you currently spend in your backroom or service center.
The easiest way to look at the total hours that you staff in your store or service center and then identify the approximate percentage of time spent on tear down, sorting, cleaning, pressing, stocking, alterations, picking and all other backroom activities. Some of you send out your cleaning and finishing so you would, of course, spend less time than those that do this in house.
A good per tuxedo time goal for someone who does not clean or press their own tuxedos is 10 or 12 minutes per tuxedo, when you are busy. If you do your own cleaning or pressing you might use a goal of 15 to 18 minutes per tuxedo. When things are very slow you might spend 15% to 25% more time per unit just due to the inefficiency of low volume.
Once you have identified your actual time spent per unit you then can divide your goal minutes per suit by your actual minutes per suit and you will then have your percent performance.
For example, let’s say you are doing your own dry cleaning and it is a slow week and that you should spend about 20 minutes per tux. Let’s say you actually spend 27 minutes per tux. Then you would take 20 divided by 27 and you would get .74 or 74% productiveness.
Don’t worry about your exact numbers. Overtime you will identify what you believe is a challenging but attainable standard or goal. You then can look to improve productivity over time.
Some of the top tuxedo rental companies in the world, both small and large, have identified backroom productivity as a competitive advantage. Let’s say that you can produce your tuxedos for $1 less per unit than your competitor. You then might take a portion of the differential and support the training, support your advertising or support other productive marketing efforts to build your volume further.
The most profitable tuxedo companies of course provide wonderful service and quality. They also watch their costs very carefully and are productive throughout their operation.
